This Privacy Policy applies specifically to the Karjan Public School-GM mobile application (“App”), developed and published by PNSWEB. It explains how information is accessed, collected, used, stored, protected and shared when students, parents, teachers, staff members and school administrators use the App.

1. Scope of this Policy

Karjan Public School-GM is a school-management and communication application used by authorized members of Karjan Public School. The App provides role-based access to school services such as profiles, attendance, homework, assignments, study materials, notices, timetables, examinations, results, fees, library information, transport information, leave requests, complaints, chat and notifications.

PNSWEB provides and maintains the technology used by the App. Karjan Public School and its authorized administrators may determine and manage the school records made available through the App.

2. Accounts and Authorized Access

Access is restricted to authorized users. Users sign in using credentials associated with their school account, which may include a school code, registered phone number, email address, username and password.

The App does not provide unrestricted public self-registration. Accounts are generally created, issued or managed by Karjan Public School or an authorized administrator. Users must keep their credentials confidential and should immediately report suspected unauthorized access.

3. Information We Access or Collect

3.1 Account and identity information

• Name, profile photograph, user role and school affiliation.
• Registered phone number, email address, username, user ID and login credentials.
• Student, parent, teacher, staff or administrator identifiers.
• School and education identifiers such as admission number, roll number, class, section, GR number, student UID, PEN, APAAR or similar identifiers where maintained by the school.

3.2 Student, academic and school-management information

• Class, section, subjects, attendance and timetable information.
• Homework, assignments, study materials, notices and school communications.
• Examination schedules, marks, grades, results and report-related information.
• Fee records, payment status and transaction references.
• Library, transport, hostel or dormitory information where these modules are enabled.
• Leave requests, complaints, disciplinary or administrative records where applicable.
• Parent, guardian, teacher and staff information connected with the user’s school account.

3.3 Communications and user-provided content

• Chat messages and other communications sent through enabled communication features.
• Homework, assignment or study-material submissions.
• Documents, photographs, images and files that a user chooses to upload.
• Support requests, feedback and correspondence sent to the school or PNSWEB.

3.4 Payment information

Where online fee or payment functionality is enabled, the App may process payment amount, payment status, transaction ID and related billing records. Payment-card or banking details are processed by the applicable payment service provider and are not intended to be stored directly by PNSWEB in complete card form.

3.5 Device and technical information

• Device model, operating-system version, app version and language settings.
• IP address, server logs, login timestamps and security-related activity.
• Push-notification token and notification-delivery information.
• Diagnostic, error and performance information needed to maintain and secure the App.
• Locally stored preferences and session information used to keep the App functioning.

4. Device Permissions

Depending on the features used, the App may request notifications, camera/photos and files/media permissions when required for related features. Users can manage permissions through their device settings. The App does not use these permissions for unrelated advertising or hidden surveillance.

5. How We Use Information

• To authenticate users and provide secure role-based access.
• To provide school-management, academic and communication features.
• To display and maintain student, parent, teacher and staff records.
• To deliver notifications and real-time messages.
• To process and reconcile school-fee payments where enabled.
• To provide support, troubleshoot problems and improve reliability.
• To prevent misuse, fraud, unauthorized access and security incidents.
• To comply with school requirements, legal obligations and lawful requests.

6. Sharing of Information

We do not sell or rent personal information. Information may be shared only as reasonably necessary with Karjan Public School, PNSWEB, technology service providers, enabled notification or real-time communication providers, payment processors, and government or regulatory authorities where legally required.

7. Children’s and Student Privacy

The App is intended for use in a school environment and may be used by students, including children, under the authority of Karjan Public School and, where applicable, their parent or guardian. Student information is processed for legitimate educational, administrative, safety and communication purposes. We do not knowingly sell children’s personal information or use it for targeted advertising.

8. Data Security

We use reasonable administrative, technical and organizational safeguards to protect information against unauthorized access, alteration, disclosure, loss or misuse. No electronic transmission or storage method is completely secure, so users should protect their login credentials and use a secure device and network.

9. Data Retention

Information is retained only for as long as reasonably necessary to provide the App and school services, maintain academic and administrative records, resolve disputes, prevent fraud, comply with legal obligations and enforce agreements. Certain official school, financial, security or statutory records may need to be retained even after a user stops using the App.

10. Account and Data Deletion

Because accounts are generally created and managed by Karjan Public School rather than through public self-registration, users should first contact the school administration to request account closure, correction or deletion.

Users, parents, guardians or authorized representatives may also submit a deletion request to PNSWEB by emailing info@pnsweb.in. Include the app name (Karjan Public School-GM), user name and role, school name, registered phone number or email address, and a clear description of the account or data to be deleted.

Reasonable identity or authority verification may be requested. Eligible account data will be deleted within a reasonably prompt period. Information required for legal, regulatory, security, accounting or official school-record purposes may be retained where applicable.

11. User and Parent Rights

Subject to applicable law and school-record requirements, users, parents or guardians may ask to access personal information, correct inaccurate information, request deletion of eligible information, withdraw optional device permissions, or raise a privacy concern.

12. Third-Party Links and Content

The App may open external websites, payment pages, documents or learning resources. Those external services operate under their own privacy policies and terms.

13. Changes to this Privacy Policy

This Privacy Policy may be updated when the App, legal requirements or data practices change. The revised version will be published with an updated “Last updated” date.
